Reporting directly to the Group Head of Operations, you will have the opportunity to make a real impact by supporting business operations, driving efficiencies, and helping shape the future of the firm's systems and processes.
The Role
As an Operations Assistant, you will support the smooth running of the business's day-to-day operations while taking an active role in process improvement, data management, and technology initiatives.
This position would suit someone who enjoys balancing structure with innovation, has a passion for technology, and is keen to introduce new ideas and smarter ways of working.
Key Responsibilities
Provide operational support to ensure the efficient running of the back-office function Maintain and manage the back-office system, ensuring data integrity and accuracy Produce and distribute weekly Management Information (MI), analysing trends and identifying opportunities for improvement Monitor workflows and pipelines to ensure cases progress within agreed service levels Ensure adherence to internal processes and procedures, identifying any training or process improvement requirements Support compliance activities, including file checks, audit preparation, and document management Research and evaluate enhancements to systems and third-party software solutions Explore opportunities to implement AI tools and automation to improve efficiency and reduce manual processes Support continuous improvement initiatives across the business Assist with general office operations and ad hoc projects as required
About You
The successful candidate will possess:
Strong IT skills and the ability to quickly learn new systems and software A passion for technology, process improvement and operational efficiency An interest in AI tools, automation and digital transformation Excellent organisational and time management skills Strong attention to detail and commitment to data accuracy An analytical mindset with the ability to interpret and produce management information Good understanding of financial services administration, including pensions, investments and protection business Experience using CRM or back-office systems such as Intelligent Office (desirable) Excellent communication skills and the confidence to liaise with advisers, providers and third parties A proactive, solutions-focused approach and a desire to drive continuous improvement The ability to work independently and collaboratively within a team environment High levels of professionalism, integrity and discretion Knowledge of FCA-regulated environments, AML and KYC procedures would be advantageous
